The slot that stayed empty.

/ Why this matters

An empty chair costs exactly what a full one costs.

A cancellation at 4 PM for a 5 PM appointment is not a scheduling problem. It is an inventory problem with a one-hour expiry, and the inventory is perishable in the most literal sense — at 5 PM that hour ceases to exist. Everything about it is already paid for except the revenue.

What the research says
  • No-show rates run about 10–20% in salons and beauty businesses; primary care sees 15–20%, and some specialty clinics 25–30% or higher.
  • A systematic review of 29 studies found SMS reminders cut no-shows by an average of 29–39%.
  • Reminder timing matters more than wording: a reminder at least 24 hours out gives people room to cancel while the slot is still sellable.
  • Combining reminders with a clear cancellation policy and waitlist management is what closes the gap — reminders alone only reduce the surprise.

"Booking and no-shows" sounds like one job. It is three, and they fail independently.

What it costs you now

  • They cancel at 4 PM for a 5 PM slot. The hour is simply gone.
  • The reminder never went out, so the appointment quietly did not show.
  • Rebooking means somebody remembering to call, and nobody does.
  • Nobody keeps a waitlist, because at the moment you say "sorry, we're full" you are not thinking about next Tuesday.

What changes

  • Books the slot, confirms it, and reminds them 24 hours ahead — while it is still sellable.
  • When someone cancels, the slot goes to the waitlist immediately.
  • Cancelling stays easy on purpose, because a cancel is cheaper than a no-show.
  • The waitlist builds itself from everyone you had to turn away.

/ Watch it work

Booked, cancelled, refilled — without you opening the diary.

The cancellation is the interesting one. An empty slot is only lost if nobody notices it in time.

0Slots refilled

Illustration, not a live feed. Scene one: an 8:52 PM enquiry is offered the one open slot and booked, with a reminder set. Scene two: that booking is cancelled at 7:04 AM, the freed slot is checked against the waitlist, and the next person on it takes the slot ninety seconds later. Scene three: a customer eleven weeks quiet is offered their usual Thursday and rebooks.

/ How it works

Three jobs, not one.

Book
Gets the appointment into the calendar without a phone call, from WhatsApp or your site.
Waitlist
Anyone who asked for a time you could not give is quietly listed. This is the step almost nobody does, and it is what makes refilling possible at all.
Remind — 24h
Early enough that a cancel still leaves you time to resell the slot. This is the reminder doing retention work.
Remind — 2h
Reduces the genuine forgetting. By this point a cancel mostly just tells you the hour is lost.
Refill
A cancellation triggers an immediate offer to the waitlist, in order. Minutes, not "when someone remembers".
No-show
One message. Not an awkward phone call, and not a lecture.

/ What it's worth

Your numbers, not ours.

The third slider is the one to be honest about. Most businesses guess low.

Value of empty slots, six months

This is arithmetic on the numbers you just entered — not a result we're claiming. It shows the value of the empty slots, not how many we would refill. The "refilled in six minutes" figure on our homepage is an illustration of the flow, labelled as such there.

/ Before you ask

Questions people actually ask.

Do I need a booking system already?
No. If you have one we wire into it. If you do not, the agent keeps the calendar itself.
How does the waitlist actually get built?
From the people you already turn away. Every "sorry, we're full" becomes a quiet listing, which is why it costs you nothing to maintain.
Will it hassle people who cancel?
One message. Cancelling stays easy on purpose — making it hard just converts cancels into no-shows, which is the worst outcome available.
Can it take deposits?
It can send a payment link with the confirmation. Whether deposits suit your customers is a business decision, not a technical one, and we will not push it.

/ The other agents

They hand off to each other.

Six specialists, one system, and none of them named after the model they run on — because that part gets replaced, repeatedly, and what they do for your business does not change when it does. Moving you onto the better one is the monthly Run’s job, not yours.
